Under the direct supervision of the Administrative Manager, this position provides administrative spport to the Chief Information Officer (CIO) and the IT Department. This position deals with a diverse group of important internal contacts in all levels of the organization , as well as external business associates, customers, and visitors. Independent judgement is required to plan, prioritize and organize the diverse workload.
The responsibilities of this position include, but are not limited to:
Scheduling and coordination of cenferences, meetings, programs, and other activities
Developing, compiling, and editing reports and presentations
Entering purchae orders and tracking payments
Working on special projects as assigned
Coordination with other departments to troubleshoot issues
Assembling highly confidential and time-sensitive information
Answer non-routine correspondence
Typing, filing, distributing mail
This position should possess the following skills/knowledge:
Must be able to work in a fast paced environment with demosrated ability to juggle and prioritize mulitple, competing tasks and demands.
High level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy.
Continual attention to detail in composing, typing or proofreading materials, establishing priorities and meeting deadlines.
Organizational skills and project management experience.
Analytical ability i order to gather and summarize data for reports.
Knowledge of a variety of computer software applications including Microsoft Office, Work, Excel and PowerPoint. Access s a plus.
Manages IT Department hisorical reference material by developing and utilizing filing and retrieval systems.
Exellent communication skills, oral and written.
Knowledge of office administrative procedures.
Professional appearance and telephone etiquette.
4 Year College Degree
3 - 5 years of administrative assistant or related experience
The employee will be sitting at a desk for an extended period of time, so they must be able to sit in a chair for 8 hours at a time.
Infrequent light physical effort required.
